  • Your business contact details – Business name, address, phone number, email address
  • Your financial details – Banking information

Why do we collect this information?

To give you quotes for our services, we need some basic contact information like your name, address, phone number, and email so we can stay in touch. We’ll also reach out if there are updates or changes to our products or services. If you’ve agreed to it, we may contact you from time to time with marketing updates or special offers.

When providing our consulting services, we may also use banking details to handle invoices and pay our suppliers. We’re committed to keeping your information accurate, current, and only for as long as we need it to provide our services to you.

 

Will SINTESIS S.A.S share my personal data with anyone else?

We may share your personal data with trusted third-party service providers who work with SINTESIS. This is done only to deliver or enhance the services we provide to you.   • Transferring to countries approved by the Colombian law 1581 of 2012
  • Using model contractual clauses approved by the Colombian law 1581 of 2012
  • Requiring recipient companies to be signed up to a recognised and approved framework, for example the “Privacy Shield”.

 

The legal bases for using your personal information

There are different legal bases that we rely on to use your personal information, these are:

  • Performance of a contract to clients to provide IT consultancy services. We undertake processing necessary to meet our contractual obligations to clients as the lawful basis for processing personal data.
  • Legal obligation: We undertake processing necessary to meet our legal obligations as a data controller as the lawful basis for processing your personal data. In particular our obligations to Colombian tax agency (DIAN).
  • Legitimate interest: As part of providing you with our services we have a legitimate interest in contacting you with respect to answering queries or informing you of changes to services.
  • Consent: To allow us (where you have permitted) to market to you electronically.

 

How long do we hold your data for?

SINTESIS S.A.S will only hold your personal information for as long as is necessary to provide you with our services. We also retain data so as to meet our legal obligations to regulatory bodies such as Colombian tax agency (DIAN) for example. When we no longer have a legitimate business need to process your personal information, we will either delete or anonymise it. All personal data we hold is subject to this privacy policy and our data retention policy. When considering retention periods, we take into account the volume of data, sensitivity and nature of data to be stored. We also consider the potential risk, harm and impact on individuals from unauthorized use or disclosure. SINTESIS wants you to be in control of how your personal data is used by us, you can do this by exercising the rights granted to you under the by the Colombian law 1581 of 2012.

  • Know – Request information about the existence of your personal data in databases or files.
  • Update/Rectify – Request correction of incomplete, inaccurate, or outdated data.
  • Request deletion or removal – Request deletion of data when processing violates the law, consent is withdrawn, or there’s no legal reason to keep it.
  • Revoke consent – Withdraw consent at any time when processing is based on consent.
  • Object – Object to the processing of your data.

What forms of ID will I need to provide in order to access my data?

We accept the following forms of ID when information on your personal data is requested: National ID or Passport.

Should you have a complaint

SINTESIS is committed to working with you to reach a fair resolution of any complaint or concern you may have about our use of your personal information. Please contact us in the first instance to discuss your concerns. If you believe that we have not been able to assist with your complaint, you have the right to register a complaint with the SIC, the Colombian authority overseeing data protection.
